Custom ERP software for small businesses in Ireland
An ERP (enterprise resource planning) system brings the everyday running of your business, such as orders, stock, jobs, invoicing and reporting, into one place. We build custom ERP systems for small and medium businesses in Ireland and Northern Ireland, with a first version usually costing €3,000 to €8,000.
ERP isn't only for large corporations. Smaller businesses get just as much from having their information joined up, but they rarely need the size, cost or complexity of a full packaged ERP. We build the parts that matter most to you:
- Customer management. Keep track of enquiries, customers and everything you've done for them.
- Automating routine work. Cut out the typing, copying and checking that takes up hours every week.
- Jobs and tasks. See who's doing what, where every job stands and what's next.
- Sales, costs and stock. Keep an up-to-date view of sales, expenses and stock levels.
Your new system can work alongside the tools you already rely on, such as your accounts package, so you can move across in stages without upsetting the running of the business.
Why choose a custom ERP over an off-the-shelf system?
Many off-the-shelf ERP and CRM packages for small businesses are expensive, hard to change and full of features you may never use. If your processes are close to standard for your industry, a packaged product may well suit you, and we'll say so. If they aren't, a custom system is often the better fit.
What a custom ERP gives you
- Only what you need. No unused modules, just the parts your business actually runs on.
- Room to grow. Start with the core features and add more as the business grows.
- Works with your other tools. Connect to your CRM, accounts package and stock systems so details are entered once.
- No paying for features you don't use. You own the system, so there are no subscription fees for modules that sit idle.
When does a small business need an ERP?
- Manual processes are slowing the business down
- Your tools don't talk to each other, so the same details are typed in several times
- Customer details, sales or stock are getting lost between systems
- You'd like routine work to happen automatically
For example, we built Cork Office Machines and Supplies one system covering its customers, printers, contracts and consumables. It reads printer usage data from emails and works out the monthly billing, and over 90% of that billing is now automated. We've also built stock management and job costing for a plumbing and heating company, and systems that read supplier invoices and statements from email with AI and match each statement to its invoices.
What we can build into your ERP
Connections to other systems
We connect your system to the software you already use, such as accounts packages, billing systems and online payments through Stripe, so information flows between them without retyping.
Automating routine work
Jobs that happen on a schedule or follow set rules, like reminders, billing runs and reports, can run by themselves instead of by hand.
Jobs, quotes and orders
For Tom O'Grady Heating and Plumbing we built job tracking, quotes and invoices with mark-ups applied automatically, a materials database with kits and ordering from suppliers.
Customer management
A custom CRM built into your system, so customer details, history and follow-ups sit alongside your orders and jobs.
Staff and subcontractor records
For Instaspace Modular we built an app that tracks subcontractors' safety document sign-offs and site sign in and out, with reports for health and safety audits.
Data protection and access control
Each person only sees what their role allows, and we'll sign a GDPR data processing agreement when you ask. You own both the source code and the data.

Frequently asked questions
What is a custom ERP solution?
A custom ERP solution is a single system, built for your business, that brings together things like orders, stock, jobs, invoicing and reporting so they're no longer spread across spreadsheets and separate tools. Unlike a large packaged ERP, it only includes the parts your business actually uses. We build these for small and medium businesses in Ireland and Northern Ireland.
Does a small business need an ERP system?
Not always. If a good accounting package and a few well-organised spreadsheets are working, you may not need one yet. It's worth looking at when the same information is being typed into several places, stock or orders are getting lost between tools, or you can't get a clear picture of the business without a day of pulling figures together.
When is an off-the-shelf ERP the better choice?
An off-the-shelf ERP is usually the better choice when your processes are close to standard for your industry and a packaged product already handles them well. Areas like accounting and payroll, which have to follow tax rules, are often best left in a proven package that your custom system connects to. We'll tell you honestly if we think a packaged product suits you better than a custom build.
How much does a custom ERP system cost for a small business in Ireland?
A first version usually costs between €3,000 and €8,000, typically covering one or two key areas such as orders and invoicing. A mid-sized system is typically €8,000 to €12,000, depending on complexity, and larger builds start at €15,000, usually once the first version has proven itself. Building in stages means you spread the cost and only pay for what you use.
How long does custom ERP development take?
A first version usually takes 4 to 8 weeks, focused on the part of the business where the most time is being lost. The system then grows in stages over the months and years that follow, adding areas like stock, purchasing or reporting as you need them. You can use each part as soon as it's ready rather than waiting for the whole system.
What can a custom ERP system manage?
It can manage whatever your business runs on, commonly customers, orders, stock, jobs, contracts, purchasing, invoicing and reporting. For a Cork office supplies business we built one system covering customers, printers, contracts and consumables, with automatic billing that cut over 90% of the manual work. For a plumbing and heating firm we built job tracking, quotes, invoices and supplier ordering from materials kits.
Can a custom ERP work with Xero, QuickBooks or our existing accounts package?
Usually, yes. Your custom system can work alongside accounting packages such as Xero or QuickBooks, so you keep the accounts software your accountant already knows. The Cork billing system we built, for example, exports its billing figures to the business's existing billing system.
Can staff use the ERP on phones and tablets out on site?
Yes. We've built systems that surveyors fill in on tablets on site, with photos, sketches and problem areas flagged for the office. We can also build in GPS location tracking, barcode and QR code scanning with the phone camera for stock and equipment, and offline working that syncs when staff are back in coverage.
Who owns the ERP system and our business data?
You own the source code and the data, so you're never tied to us. Systems run on Google Cloud with data held in an EU region and backed up every night to separate off-site storage. We'll sign a GDPR data processing agreement when you ask.
Who will build and support our ERP system?
You deal with one person from start to finish, the person who designs, builds and supports your system, with no account managers in between. We're based in County Kildare and work with businesses across Ireland and Northern Ireland. After launch we stay on to look after the system and add new features as your business changes.
