ReceiptLog, a free receipt app for sole traders and small businesses

Create a professional, branded PDF receipt and send it to your client in seconds. It’s completely free, with no subscription, no trial period and no credit card needed.

What is ReceiptLog?

ReceiptLog is a free receipt app for sole traders, freelancers and small service businesses. It lets you create professional, branded PDF receipts and send them straight to your clients, without needing invoicing or accounting software. It runs in your web browser on your phone, tablet or computer, and you can add it to your home screen so it opens like any other app.

It started with a real need. Warren, who runs GBA Solutions, built it for his wife, who runs a reflexology practice and needed to give clients proper receipts they could claim on their health insurance. Most of the tools they looked at were either expensive, overly complicated or designed for full accounting rather than quick receipts.

So ReceiptLog does one job well. You set up your business details, logo, clients and services once, and from then on you pick a client, choose the services and send the receipt. Every receipt is kept, so you have a tidy record when tax time comes round.

Her friends started using it, then their friends, so GBA Solutions decided to make it available to any small business with the same problem. ReceiptLog is built and run by GBA Solutions in County Kildare, Ireland, and it’s free to use.

The problems ReceiptLog solves

Clients want a proper receipt

When a client asks for a receipt, a handwritten note doesn’t look the part. ReceiptLog gives them a clean PDF with your logo, business details and a unique receipt number.

Most tools are built for something bigger

Invoicing and accounting packages are often expensive and complicated when all you need is a receipt for a payment you’ve already taken. ReceiptLog does just that one job.

Records are scattered at tax time

Receipt books, photos on your phone and loose notes are hard to pull together for your accountant. ReceiptLog keeps every receipt in one place and exports them to PDF, Excel or CSV.

Writing the same details over and over

Typing out your services, prices and client details each time is slow. In ReceiptLog you add them once and pick them from a list after that.

Who ReceiptLog is for

  • Sole traders and freelancers
  • Reflexologists and massage therapists
  • Physiotherapists, acupuncturists and counsellors
  • Hairdressers, barbers and beauticians
  • Plumbers, electricians and carpenters
  • Personal trainers and fitness instructors
  • Tutors and music teachers
  • Cleaners and gardeners

For therapists and wellness practitioners

ReceiptLog was first built for a reflexology practice, so clients could have a proper receipt to claim on their health insurance. You can add a standard note to every receipt showing your credentials or registration number, and save each client so the next receipt is quicker.

For hairdressers, barbers and beauticians

Set up your treatments once with their usual prices, then select them when a client pays. Your logo and brand colour appear on every receipt, so it looks like it came from your salon or business.

For tradespeople

Plumbers, electricians, carpenters and other trades can list several items on one receipt, with a quantity and price for each and custom items where needed. If you’re VAT registered, receipts show the VAT rate on each line, a net subtotal, the VAT amount and the total.

For personal trainers and tutors

Line items with quantities make it easy to give one receipt for a block of sessions. Send it by email or WhatsApp straight after you’re paid.

For freelancers and consultants

Coaches, consultants and photographers who are paid directly can issue a receipt in seconds and keep a full record. When your accountant asks, export everything to Excel or CSV, or download all your receipts in one ZIP file.

What ReceiptLog does

Branded PDF receipts

Your logo, business name, address, phone, email and website appear on every receipt. Upload your logo in the app, or email it to logos@receiptlog.app from your registered email address.

Your brand colour

Choose from 8 colour presets or set your own primary colour, which is used for the receipt heading, dividers and totals.

Clients saved for next time

Build your client list as you go and pick clients from it when you create a receipt. You can archive clients you no longer see and restore them later.

Services with default prices

Add your services once with their usual prices, then select them in a couple of taps. You can also add custom items and quantities to any receipt.

Send it your way

Email the PDF receipt straight to your client’s inbox, share it by WhatsApp, or download it.

Receipt numbering

Every receipt gets a unique number. Choose a numbering format, such as a year prefix (2026-001) or continuous numbering, and set your own starting number.

Optional VAT

If you’re VAT registered, set your VAT number and default rate, or different rates per service. If you’re not, leave VAT turned off and your receipts won’t show any VAT information.

Currencies

Choose from 10 currencies, including euro, sterling and US dollars, or add your own.

Exports for your accountant

Download single receipts as PDFs, export your data to CSV or Excel, or download all your receipts in a ZIP archive.
