Accounting and Payroll Software and Automation

Supplier invoices, statement checks, timesheets and payroll records handled for you, so the accounts office isn't typing everything twice.

Take the typing out of the accounts office

A lot of time in the accounts office goes on moving information from one place to another: invoices from email into the system, statements ticked off against invoices, hours from timesheets into payroll. It's slow, it's easy to make mistakes and it's rarely anyone's favourite job.

We build systems that do the moving for you and leave the checking to your people. They work alongside your accounts package and payroll system rather than replacing them.

Accounting and payroll work we've done

For a building services company, supplier invoices that arrive by email are read automatically using AI. The supplier, lines, totals and Irish VAT details are picked out, and someone in the office checks and approves each one. Supplier statements are read the same way and matched against the invoices in the system, flagging anything missing on either side.

The same system brings stock and labour costs onto each job, so the accounts office can see the real cost of the work and not just the invoices.

For a catering company that staffs events with casual workers, we built a staffing app and an office dashboard. The office plans how many people each event needs, advertises the shifts and offers them to staff, who accept on their phones. At the event, staff scan a QR code to start and finish work, and the hours are turned into payroll files ready to upload to the company's payroll system. More than 50 staff use it.

For Cork Office Machines and Supplies, monthly billing is worked out automatically from the usage reports their printers send by email, with over 90% of the billing work now automated.

FAQ

Frequently asked questions

Can software read supplier invoices automatically?

Yes. For one client, supplier invoices arriving by email are read by AI, with the supplier, lines, totals and Irish VAT details picked out. Someone in the office checks and approves each one before it's recorded.

Does it handle Irish VAT?

Yes. The invoice reading we've built picks out VAT rates and amounts as they appear on Irish invoices, and the office can correct anything before it's approved.

Can you automate supplier statement reconciliation?

Yes. Supplier statements are read and matched against the invoices in the system by reference and amount. Invoices on the statement but missing from the system are flagged, and so are newer invoices the supplier hasn't included yet.

Will it replace our accounts package?

No. We build systems that work alongside your accounts package and payroll system, doing the gathering and checking and passing on clean data.

Can you build a rostering and clock in system?

Yes. We built a staffing app for a catering company that plans staffing for each event, advertises and offers shifts to casual staff, and has staff scan a QR code to start and finish work. Their hours are turned into payroll files ready to upload. More than 50 staff use it.

Can it produce a payroll export?

Yes. Hours, rates and breaks can be compiled into the file format your payroll system or bureau expects, ready to upload.

Is AI accurate enough for accounts work?

It's good, but not perfect, which is why we always have a person check and approve what it reads. We also add checks of our own, such as making sure line totals add up to the invoice total.

How much does accounting automation cost?

A first version usually costs €3,000 to €8,000, a mid-sized system €8,000 to €12,000, and larger builds start at €15,000. Automating one document type, such as supplier invoices, is often a good place to start.

Is the accounts office typing everything twice?
