The client is The Motorhome Man, a UK-based Motorhome and Caravan Service specialist, led by owner Shane Francis. They operate out of Buckinghamshire and focus on routine and emergency servicing of both motorhomes and caravans, offering a variety of checks and repairs.

Their website – fixmotorhome.co.uk – details the range of services they provide, from standard habitation checks to more in-depth diagnostics. Being mobile in nature, The Motorhome Man’s technicians frequently work on-site at customers’ homes or storage facilities, meaning speed and efficiency are vital.

Project Brief

Shane approached GBA Solutions looking for a way to digitise his extensive paper-based process. Prior to our collaboration, he relied on paper forms to document everything during a motorhome or caravan service: from initial checks and damp testing to final sign-offs. This created piles of paperwork that had to be manually filed and sifted through whenever a customer needed historical data.

In line with GBA Solutions’ commitment to providing software solutions for small businesses, we proposed a custom web application that would replace physical forms with an easy-to-use digital portal. The brief specified:

  • A paperless workflow for faster input and retrieval of data.

  • Automated generation of PDF reports that could be shared with customers.

  • Real-time storage of all inputs on a cloud-based system so that the data was never lost.

  • The ability to draw on images of motorhomes/caravans to highlight defects or damp readings.

  • Easy-to-navigate dashboard for archiving, unarchiving, and searching through historical service records.

The Challenge

Although the transition from pen-and-paper to digital sounds straightforward, The Motorhome Man had several real-world challenges that needed addressing:

  1. Extensive Checklists: Motorhome and caravan servicing involves multiple checks—water systems, electrical components, damp testing, bodywork, gas systems, tyres, and more. Each check requires fields for comments, sign-offs, and occasionally sketches or photos.

  2. Regulatory Compliance and Accuracy: Service reports, especially where gas and damp checks are concerned, must be precise. A slip-up might lead to an incomplete record or confusion for the customer. So, the digital forms needed to reflect (and improve upon) the thoroughness of the paper documents.

     

  3. Seamless Customer Communication: Once a service was completed, the system had to generate a PDF and easily email it to the customer, ensuring a seamless, time-saving solution that also projected a professional image.

  4. User Adoption: People comfortable with pen and paper can be hesitant to move onto digital platforms. The interface therefore had to be intuitive and user-friendly—particularly for technicians accustomed to writing and sketching.

The Solution

GBA Solutions designed and deployed a bespoke software application for The Motorhome Man, powered by Firebase for real-time data storage and retrieval:

  1. Real-time Data Capture

    • We introduced tickboxes, radio buttons, and text fields that replicate the familiar structure of a paper form.

    • The forms are auto-saved in real-time to Firebase, so the user never has to remember to press ‘Save.’

  2. Sketching & Damp Checks

    • We added canvas overlays on motorhome or caravan images, allowing the technician to draw lines, boxes or markers indicating problem areas.

    • This makes damp check visualisation far clearer than trying to describe an issue on paper alone.

  3. Automatic PDF Generation

    • Each check or note is compiled automatically into a PDF.

    • If the technician updates any field on the form, it’s reflected immediately in the final PDF—no extra steps required.

  4. Dashboard for Search & Archive

    • A user-friendly dashboard allows the team to view current or archived jobs, search by registration number or customer name, and manage older entries by archiving them.

    • Archived jobs can be restored (unarchived) instantly if a returning customer calls, removing the need for rummaging through file boxes.

  5. Customer Communication

    • With a single click, the system sends the final PDF to customers by email.

    • This immediate distribution reduces phone calls and confusion, letting Shane’s team focus on their servicing.
